Chart of Invoices per Month by Charge Type

The Chart of Invoices per Month by Charge Type Report shows the total invoiced amounts by month, with a breakdown by charge types and earnings.

Best viewed for a period of 12 months or less, data can be filtered by Office, Client, Job, Client Owner and Job Owner. The chart is a good companion to the invoice listing, assigned time and fees earned reports.

This chart displays invoiced amounts by month as columns, broken down into
the different earnings components like fees, sale of goods, and disbursements.

A table of figures below the chart gives the exact component earnings amounts.

Chart of Invoices per Month by Charge Type Report

Go to Reports >> Performance Reports >>from the ‘Invoicing’ section click on ‘Chart of Invoices per Month by Charge Type’ and select the required date range.

You can also optionally filter this report by Invoice Office, Client, Job, Client Owner and Job Owner.

We recommend you choose a date range of 12months or less for optimal display

Now click on the ‘Report Options’ button and select one of the preview options to see a preview of ‘Chart of Invoices per Month by Charge Type’ report.

Understanding the data

The Chart of Invoices per Month by Charge Type report shows the following information –

  • Dates (month and year on the x-axis)
  • Total amount invoiced per month on the y-axis
  • Earnings proportional to invoiced amounts are shown as a column with earnings components for each month
    • No charge type
    • Disbursements
    • Sale of Goods
    • Fees

Dates (per month)

The invoiced amounts and earnings reported on each month are tied to the invoice dates – not any individual component dates.

For example if a disbursement for May is assigned to an invoice for July, the earnings will be reported on for the month of July.

Invoiced Amounts

The invoiced amounts are exclusive of any sales tax and correlate to the same invoice amounts from the load invoice screen, or the invoice listing report.

Both committed and uncommitted invoices are included in this report.

Earnings (by fee types)

Earnings in Abtrac are the recovered value of each timesheet entry, based on a pro-rata of everyone’s time compared to the invoiced line amount.

The earnings shown as a breakdown of invoiced amounts in the report are calculated following the rule selected from Administration >> Settings >> System Settings >> Invoices

Earnings are also called Invoice Fee Contribution, WIP Value Fee Contribution, and Fee contribution.

Balancing Earnings to Invoiced Amounts

The total earnings for the time period will balance to the total invoiced for the month.

Depending on your data, somethings the earnings will include no charge type, or the earning amounts will be negative.

To view the invoice earnings data

Go to Reports >> Performance Reports >>from the ‘Invoicing’ section click on ‘Assigned Time and Disbursements’ and select the required date range.

All time and costs assigned to invoices for the chosen period are included in this report. You can read more about Assigned Time and Disbursements here.

In the example below the total earnings are $71,539.46. The charge type column can be used to reconcile the fees earned by type to the chart of earnings.

Understanding Charge Types

Disbursements

Disbursements are employee disbursements(costs) entered into Abtrac.

Sale of Goods

Sale of Goods are company disbursements, or Sub-Consultant costs. In the assigned time and disbursements report these show as Goods.

Fees

Fees ordinary time assigned to an invoice. In the assigned time and disbursements report these show as Ordinary, also known as T for time in the Bulk Edit timesheets report.

No charge type

This category is used to show where there are invoiced amounts without any time or cost assigned.
