Timesheet Summary by Month Report

The Timesheet Summary by Month report gives a summary of the time values (based on charge or cost rate) or time units for 12 months up to the date entered. The report includes subtotals by Task, and a breakdown by employees for each Task.

This report shows all time, billable or not, and can be used to track time and the value of time spent on the job & tasks, and counts back a calendar year from the date entered.

Time is displayed in the month columns by timesheet dates for this report.

This report also shows the disbursements during the selected time period.

Note that you will receive a “There is no data to show in this report” result if you enter the ‘Date To’ as something greater than 12 months from the current month end.

This report is useful if you have typically government work and need to complete surveys on the hours worked. It allows you to report hours spent each month per staff and can assist in measuring certain people working in certain areas of employment (for example women, indigenous people, staff in training etc.)

Timesheet Summary by Month Report by Charge Rate Value

From Reports >> Performance Reports >> Select Timesheet Summary by Month under the Timesheet Entries section or type the name of the report in the search bar at the top.

You can select a Date To and ‘All’ or a single client and job. By default, the report filters by charge rate. You can also filter the report by cost rate. 

Click on the ‘Report Options’ button, the ‘Choose Additional Report Options’ box appears.

Select Rates Values and click on the ‘Print Preview’ button to preview the report in terms of charge rate values.

Select ‘Cost Rate’ at the bottom of the reports filter page to view Timesheet Summary by Month report by cost rate values.

Timesheet Summary by Month Report by Hours

You can select a Date To and ‘All’ Clients or a single client and job. By default, the report filters by charge rate. You can also filter the report by cost rate. 

Click on the ‘Report Options’ button, the ‘Choose Additional Report Options’ box appears.

Select ‘Hours’ to view this report by hours worked.

Understanding the data

Values in this report can be reconciled to the same information in the Bulk View or Bulk Edit Timesheet reports)

Time Values

This report shows all time whether billed or not.

It shows time based on the timesheet line date and not the timesheet period ending date.

Date Selection

You can only select a Date To, when choosing the report data. It will then count back 12 months with no need to set the Date From.

Dates (Column 1 – To End of month)

The column ‘To End of mmm yyyy’ shows the value summary for the whole of the first month of date (e.g Jul 2022 in the image above, will show all data from 01 – 31 July 2022)

Dates (Column 12 – Up To month)

The column ‘Up To mmm yyyy’ shows the value summary only up to the date selected in the report filter options. (e.g. If the report date is 15 June, this column will only include data up to this date – not for the complete month)

Dates (Column 13 – Total up to month)

The column ‘Total up to mmm yyyy’ shows the value summary from the first day of the first month to the date selected in the report filters.

(e.g If the report date is 15 June, this column will show the total values from 01 July – 15 June.)

Values

Rates values are the timesheet extensions based on employee charge or cost rates, corrected to the nearest whole number.

Hours

In the report type based on hours, hours refer to the standard timesheet units from system settings corrected to one decimal point.
