Getting started: Setting up Administration Jobs and Template Jobs

We recommend you set up a Client in Abtrac with your own company name, and track all administration, training and leave time as Abtrac projects.

You can also set up a client in Abtrac with your own company name to store template jobs or projects for the various types of work you handle, this is particularly useful when job information is often repeated.

Set Up Your Company as a Client/Contact

Navigate to Clients, Contacts & Jobs and select Add Client or Contact.

Enter your company details, mark it as non-billable, and save.

Create Jobs for Non-Chargeable Work

After adding your company as a client, set up administrative, leave, and other non-billable jobs to track staff time.

Examples of internal non-chargeable projects

  • Administration – Office management, internal meetings, and document preparation.
  • Training & Development – Staff training, professional development, and certifications.
  • Internal IT & System Maintenance – Software updates, troubleshooting, and IT support.
  • Business Development – Marketing, networking, and proposal writing.
  • HR & Recruitment – Hiring, onboarding, and performance reviews.
  • Company Strategy & Planning – Budgeting, goal-setting, and internal process improvements.
  • Annual Leave – Paid vacation time for employees.
  • Sick Leave – Time off due to illness or medical appointments.
  • Public Holidays – Statutory holidays observed by the company.
  • Family Leave – Parental leave, caregiving, or compassionate leave.
  • Travel – Business-related trips and travel time.
  • Internal Research & Innovation – Exploring new tools, workflows, and process improvements.

Use Template Jobs for repeatable projects

Save template jobs under your company’s record to simplify the setup of recurring projects and tasks.

These templates serve as pre-defined job structures, including all necessary job details, billing configurations, estimated budget allocations, and specific requirements for job owners or offices.

By creating ‘dummy jobs’ or example jobs with fully pre-filled information, you eliminate repetitive data entry.

When a similar real job arises, you can quickly clone the relevant template, ensuring consistency and reducing setup time.

Template Jobs – billable or non-billable?

Some people will opt to enter template projects into Abtrac and start them as ‘non-billable’. That way the time and costs associated with it do not show in invoice preparation reports.

Once a template job is copied to a real client it becomes billable, you can tick the billable box and it will turn into a billable project.

How to copy a job from a template jobs

To clone a job, find the original job you want to clone from and view job details. From the job details menu click the Clone Job Button.

Select any appropriate job details to clone, and choose the “Clone Job” button from the pop up.

When you clone or duplicate a Job it will add the new job to the parent client where you started this process.

From the Client Details screen choose >> Projects to view both the original and cloned job.

To move this job to another client you can use the transfer job feature.
