At work (an accurate measure of productive time)

Projects that are At Work

Every project in Abtrac has a tick saying “At Work” meaning when people entering time for that project they are ‘at work’ and engaged in a task.

This At Work option is checked by default when a new project is created, regardless of whether it is billable, non-billable, or a proposal.

Projects that are NOT At Work

Some projects aren’t projects at all but people still put their time to them.

These might be used to track annual leave, public holidays, professional development etc.

The three examples outlined in the image below (sick leave, annual leave, public holidays) are not a “At work” projects, although first two admin jobs could be At Work.

To set a project as Not At Work you must remove the At Work check.

Using the concept of At Work and Not at Work to measure productivity

The concept of ‘At Work’ was introduced to give employee productivity measures on the time that staff are ‘at work’ without including other not-at-work time.

The productivity on Hours At Work percentage will increase if you are deliberately excluding time spent on annual leave and public holidays as not-at-work time.  

Productivity when all time is included (everything is classed as At work)

For example someone may have 40 hours in a weekly timesheet of which 16 hours are annual leave.

When all time is included their overall productivity taking into account the 2 days off will be low at 60.00%.  

Productivity: 60.00%

Productivity when time not-at-work is excluded

In the same example above – 40 hours in a weekly timesheet with 16 hours as annual leave.

When you report on only at work time, and exclude productivity for time not-at-work the productivity will remain higher, it might show 100% (if they’ve been working on chargeable work (billable jobs) the entire time they were at work).

Timesheet Summary Totals

In Abtrac timesheets a summary of time recorded is shown at the bottom of the timesheet, with percentages and units based on several quotients.

Time spent is reported on total units, chargeable (billable) time, non-chargeable time, productivity, productivity at work, and productivity on standard hours (required units).
