The Sub-Consultant Invoice Listing report option can be used to get a summary of sub consultant claims and invoices for all or selected subconsultants, between two dates.
You can choose to view all sub consultant invoices, just those that have been fully processed, or only those still waiting to be fully processed.

The Subconsultant Invoice Listing report shows sub-consultant invoices and claims which might include payment claims and progress claims from the subconsultant.

A subconsultant invoice, once it has been fully approved, can be processed as an office disbursement ready to be assigned to an invoice sent to your client.
This is not a report that shows invoices that are created from the Invoice Management screen that are sent to your clients. Once the invoices received from a subconsultant are assigned as a disbursement to a client invoice, they can be viewed from other reports, including ‘Job Financial Status’ report from Reports >> Performance Reports >>Timesheet Entries section.
How to generate the Sub-Consultant Invoice Listing Report
The ‘Subconsultant Invoice Listing’ is accessed from Reports >> Performance Reports >> in the Sub-Consultants section.

The Sub-Consultant Invoice Listing report gives a list of subconsultant claims and invoices between a chosen date range for the selected subconsultant/s.
It displays the job (project) code, job name and task these disbursements are linked with.
You can choose the relevant option in the report options box to view all subconsultant invoice status, just those that have manually had their status applied as fully processed, or only those still waiting to be fully processed.

Click on the ‘Print Preview’ button in the report options box to preview a list of claims and invoices for your chosen criteria.

Understanding the Data
The Subconsultant Invoice Date, Invoice Reference, Amount Claimed and Comments in this report comes from Time & Disbursements >> Subconsultants Invoices page.


We Invoice the Client tick box, Amount to Client and Amount at Our Cost information on this report come from the Job Tasks screen Sub Consultant information. (You might call them Project Tasks, Job Stages or Job Tasks). You can read more about these costs and mark ups here.


The Date Posted or Approved, and Disbursement Sheet dates are derived when the subconsultant invoice is approved.
This can be accessed from Time & Disbursements >> Subconsultants Invoices >> click on the pencil edit button to the left of the invoice details to go into Processing an Invoice Received from Subconsultant page >> now click on the pencil edit button in the Invoice Line Details table to go to the Edit Subconsultant Invoice Line box below.

all processed
The Sub-Consultant Invoice Status All Processed, Fully Processed or Not Fully Processed is applied from a tick box which needs to be filled in manually in the Approve Subconsultant Invoice box (pictured below). Once a subconsultant invoice is marked as All Processed, it means that the subconsultants have claimed everything (all charges) and payments have been made.

This can be accessed from Time & Disbursements >> Subconsultants Invoices >> click on the pencil edit button to the left of the invoice details to go into Processing an Invoice Received from Subconsultant page >> once the invoice lines are created & approved and disbursements are entered, click on the Approve Invoice button to to go into Approve Subconsultant Invoice box.
