Current Proposals Outstanding widget

Current Proposals Outstanding dashboard widget is a tool to manage your active proposals.

Only non-billable projects with a proposal number are tracked and reported on as proposals in Abtraclearn more about proposal projects here

Current Proposals Summary

The Current proposals summary shows a count of –

  • Outstanding Proposals
  • Proposals Created last 30 days
  • Proposals Accepted last 30 days

It also shows a Follow up summary

  • The ‘Follow Ups’ grid

Outstanding Proposals

Outstanding Proposals are proposals that have not been converted to projects, and do not have a project code or confirmed date.

Outstanding proposals are also current proposals that have not been reviewed and made non-current if the proposal has been rejected.

You can also use Job Status to keep track of where your proposal is at.

Proposals Accepted

Accepted proposals are billable projects that also contain a proposal number and confirmed date.

Follow up details for proposals

The follow ups grid gives a quick summary view of follow ups if any, that are required with the outstanding proposals.

Proposal details will show up in this grid if a follow up date has been entered in the Job Details page for that proposal.

Setting up a follow up date on your proposal jobs

A follow up date for a proposal job can be set up in the ‘Follow Up’ section of the Job Details page. Here, you can also enter the follow up person and any follow up notes specific for that proposal.

Follow up notes for proposals can be set up as a required item from your System Settings.

Proposal Contacts

From the Follow ups grid, you can jump to Job details – by clicking on the proposal number. You can also click through the Company name to jump to the ‘Client details’ page.

The name and mobile number of the main contact person for the client are also shown in this grid.

Follow up Person, Date and Notes

The follow up date and follow up person details come from the information entered in the Job Details page for the proposal.

You can have only one follow up date and follow up person entered for a job or a proposal. Follow up notes for proposals can be set up as ‘required’ field from System Settings.

Current Proposal Outstanding Details page

Click on the Outstanding Proposals number to go to Current Proposal Outstanding Details page.

Here, you get a list of all outstanding proposals, along with Job Description, Client Name, Fee Estimate and Follow Up Date.

This screen shows all the outstanding proposals, whereas the Follow Ups grid shows only outstanding proposals with a follow up date entered.

Like the follow ups grid, you can also click through the proposal number (Job Code) in this page to go to the Job Details page for the proposal.

You can also click through the proposal number (Job Code) itself to make any changes to the job.

Converting Proposals to confirmed Jobs

Based on follow up conversations with your client, you may either make the proposal non-current or billable from the Job Details page.

On ticking the ‘Billable’ box, a pop up will appear asking if you want to update the confirmed date.
Once a job is made billable, Abtrac will also update the job number based on the system settings.
