Getting started with your invoicing normally starts with a few reports to see who you are invoicing and for how much. This can then be checked with job (project) managers to confirm they are ready to invoice the clients and if they are happy with the amounts.
There are two basic reports that can get you going. Unbilled Work Quick Summary and Timesheet Entries.
Unbilled Work Quick Summary
Go to Reports >> Performance Reports >> select All >> click on ‘Unbilled Work Quick Summary’ found in the ‘Invoicing’ section. As the name suggests, this will give you a summarised report that you can run against one or all jobs, to see quickly what is outstanding out of all your billable time.
Click on the ‘Report Options’ button and you can select either ‘Preview with Export Options’ or ‘Preview and Print’ to preview the report.
Select/tick the required details from the pop up that appears and click on the print preview button inside the pop up.
The report can be previewed as below for ‘Preview and Print’ option.
For ‘Preview with Export Options’, you have the additional feature of exporting the report to any of the given filename extensions.
Timesheet Entries (Billable WIP Only)
Go to Reports >> Performance Reports >> select All >> click on ‘Timesheet Entries’ in the ‘Timesheet Entries’ section.
This can be used for invoicing and also for general reporting. The trick is to tick ‘Billable WIP’ (shown below) to only show information that hasn’t yet been billed.
The ‘Timesheet Entries’ report shows information based on timesheets, which makes it easier for a job (project) manager to confirm what is billable, what to hold for the next billing cycle or what may need to be written off.
Click on ‘Report Options’ and enter your preferences into the pop up box that appears, then click on the ‘print preview’ button inside the box.
The required timesheet entries will be reported as below.
As mentioned, this is the simplest way to get information to show what may be billed. Both of these reports have a number of groupings and filterings which can change the information shown, and there are also other reports that show the information in greater detail.
